Customer data collection is our biggest headache in the business and our biggest opportunity.
At present every client has to sign a disclosure form on arrival ( on a busy day we can have several hundred) so the admin is a pain and then the data is not always accurate and it is then a huge manual typing job to put that into a database
We collect the data on Tourcms of the lead booker but we miss the rest which is around 80% of our clients data missed.
Trying to figure a way where when we send booking conformation documents we have a link into Tourcms where we have a page with our disclosure statement and field for them to fill in.
The idea will be to setup an automated email that you can configure - say to be sent 1 month prior to the trip. In that email would be a link to a page where the individual customer can login and complete the missing data.
Will need to support a lead customer entering details for the entire booking - or the concept of emailing each customer on a booking and letting them complete their details themselves.
We also have coming a system so you can easily spot missing data. So you could be alerted, say 2 weeks before the activity, that emergency contact information was missing for 10 of your customers.
This entire concept is on our list of things to do - but probably in end March looking at current plan
Sounds like a plan. It will depend on the lead customer circulating to the rest of the group of filling in the details by themselves but it will capture a lot more than we do now
It will need to have the disclosure on it as the plan is to print it off the day before arrival so they can intial it as this is required by insurance and also catch anyone who has not filled it in
